Everything you need to know for a smooth start.
🔑 1. Access & Keys
- Key Pickup: You’ll receive access instructions shortly before arrival. Please contact us 24 hours before arrival to confirm the date, time and deposit transfer.
- Lockout Assistance: In case of lockouts, mail us directly. Fees may apply outside business hours or for replacement of keys and locks.
🏡 2. Studio Check-In
- Upon arrival, go through the studio for a quick check-up. Any ‘major’ problems regarding cleanliness or damages need to be reported within 24h from arrival, with description and picture. Minor problems can be reported during the place inventory makeup.
- You’ll receive an invitation for place inventory visit by our official partner (external company). Confirm this in time as a place inventory is mandatory and serves to protect you from incorrect damage fees later on.
📸 3. Meter Readings
- Meter readings are automatically registered daily by the TECHEM system (externat partner).
- If you wish you can take photos of the electricity, heating, and water meters for your own reference.
🌐 4. Wi-Fi & Internet
- Your studio comes with FREE Wi-Fi.
- The wifi access information has been sent to you prior to your arrival.
🧾 5. Deposit Payment
- If not already paid: transfer the rental deposit (as mentioned in your contract) to our bank account and provide the proof of transfer so to assure a fluent check-in.
- Payment must be completed before or on the day of arrival and before receipt of the leys or entrance to the building
🗑 6. Garbage Sorting & Pickup
- Leuven is strict on waste separation.
- Blue bag: PMD
- Brown bag: Residual waste
- Glass: glasscontainer on the corner of the street
- Paper: seperately in a paper box or bag
- You have received one example bag for your reference and to get set up upon arrival
- Collection schedules vary per street – check Leuven afvalkalender.
🏛 7. City Hall Registration
- All students must register their address within 8 days of arrival.
- Go to Dienst Bevolking at Leuven City Hall.
- Documents needed:
- Rental agreement
- Passport/ID
- Student certificate or proof of registration
- Follow this procedure well and keep your landlord posted as these paper will be required to obtain lowered or full city tax exempt, even if date 1/1 is not included in your rental contract
📃 8. Required Documents
Before arrival, make sure you have sent us:
- Signed rental contract
- Proof of deposit payment
- Proof of identity
- Proof of being a student
